Medical Affairs Operations Representative
Duration: 6 months, Contract, W-2
Pay: $28 - $30.75/hr.
Location: Onsite in Irvine, CA
Job Description:
1. Physician Training Operations - Proactive Disease Management (50%)
* Lead end-to-end operational execution of physician training/U.S. Proctor Program engagements (scheduling, coordination, and tracking of proctoring events and training activities)
* Manage training workflows from request intake through completion
* Reconcile training activities, documentation, and associated records for accuracy/completeness
* Serve as a central liaison between field teams, physician offices, and internal MA partners
2. NCD Readiness & Documentation Management (30%)
* Drive high-integrity documentation processes to support NCD readiness/regulatory compliance.
* Partner with NCD Strategy leadership (SME3) to ensure training and proctor sign-off documentation is processed
* Maintain audit-ready documentation within enterprise systems (e.g., SharePoint)
* Organize records for AI-driven OCR workflows to enable scalable, high quality data capture
* Conduct routine audits of new/historical records to ensure completeness, traceability, and regulatory alignment
3. Onsite Physician Training Support - Irvine (10%)
* Provide on-the-ground operational support for physician education programs hosted in Irvine.
* Coordinate logistics for onsite training events (materials, scheduling, and participant readiness)
* Partner cross functionally to ensure seamless execution of HCP education programs
* Troubleshoot operational issues to maintain a high-quality training experience
4. HCP Credentialing & BioCard Management - Mentorship (5%)
* Maintain accurate and compliant physician credentialing records to support MA engagements.
* Support the HCP nomination and onboarding process in alignment with program requirements
* Maintain, update, and audit HCP BioCards and credentialing documentation
* Ensure physician profiles reflect current qualifications, affiliations, and training status
5. Other Incidental Duties & Operational Excellence (5%)
* Contribute to broader MA and POD initiatives that enhance operational performance at scale.
* Support cross-functional projects spanning Proctoring, Operations, and Physician Training/NCD
* Participate in process improvement efforts and workflow enhancements
* Temp, T3, Senior Representative. Hiring Manager: C. Paret, Director, Medical Operations Strategy
* Execute ad hoc analyses and operational requests to support business priorities
Qualifications:
* Bachelor's degree in Computer Science, Information Technology, Healthcare Informatics, etc & 2+ years of experience in digital solutions, project management, or a similar role
* Strong administrative assistant skills
* Proficiency in Microsoft Office Suite, particularly Outlook
* Experience with Monday.com or other project management tools
